Handoff Template
A handoff template for South African wall-art jobs, covering sign-off, care notes, snags and supplied components.
When Handoff Template helps on an active project week
Handoff Template records the final details passed over at the end of a wall art job. It includes sign-off points, care notes, snag items and the components supplied with the installation.
Use the Handoff Template to capture the last checks before a wall art installation changes hands. Record the wall condition, completed fitment, remaining snags, and any care instructions needed for vinyl, framed prints, acrylic panels, or canvas pieces. On South African sites, this handover note is especially useful where different people handle print, transport, installation, and client sign-off.
Include clear photos taken after installation, not only before the work starts. Add close shots of joins, edges, corners, stand-offs, hanging hardware, and any marked defects so the next person sees the exact condition on handover. If spare panels, touch-up pieces, or fixings are left on site, list them in the same record.
Sign-off points at handover
A completed handoff pack should show who accepted the work, what was installed, and what still needs attention. Note final sizes, material choices, room location, and any cleaning or maintenance restrictions given to the client or facilities team. This is where a missing trim, pending reprint, or shifted panel must be written down plainly.
Link the Handoff Template to the approved artwork file, installation photos, and any snag list before the project is closed. Check that delivery items, leftover components, and care notes match what remains on site. Share a photo of the space and the print finish you like, and the studio will plan the piece.
- Installed items listed room by room
- Snags photographed after final fitting
- Care instructions left with site contact
SA site conditions to record
Handover details matter when work moves through busy Gauteng dispatch points, shared office parks, or shopping centres with restricted access hours. Note if items were signed off at reception, by a facilities manager, or by a store supervisor rather than the original client contact. Where artwork travels between Johannesburg, Durban, and Cape Town, the template should also show what arrived complete and what must still follow.
Coastal humidity can affect adhesives, edge sealing, and cleaning advice, especially near Durban and Cape Town. Inland dust and construction residue often mean framed pieces, perspex faces, and wall graphics need specific wipe-down instructions at handover. During load-shedding periods, record any interrupted fitting steps or postponed lighting checks that could affect the final presentation.

What to capture before close-out
Fill in the Handoff Template with site photos, key dates, contact details, and notes on artwork, measurements or previous snags. Keep the subject line direct.
Complete the Handoff Template while the installer, project lead, and site contact details are still at hand. Add approval names, install date, site address, remaining defects, and a list of supplied extras such as spare tiles, touch-up vinyl, hanging templates, or care sheets. That creates one final record for the wall art job instead of scattered notes across messages and photo folders.
