Spare List
A spare list for South African wall-art projects, including extra prints, fixings, touch-up items and replacement parts.
How Spare List helps after fitting day
Spare List helps project teams record the extra items needed beyond the main wall art install. It includes backup prints, fixings, touch-up materials and replacement parts for later use on site.
Use the Spare List to log what should stay behind after installation, not just what was ordered for the wall. Include extra prints, spare fixings, touch-up ink, offcuts, and any replacement parts that suit the substrate used on site. In South African projects, this record is especially useful where humidity, dust, handling damage, or long travel between branches can affect stored stock.
Capture the first surplus item as soon as the fitting team unpacks. A quick photo of the spare piece, its label, and the room it belongs to helps later when a panel chips, a corner lifts, or a bracket goes missing. Keep that record with the artwork file so the site team can match finishes and sizes correctly.
Items to keep on hand
A good Spare List names each leftover or backup item in plain terms the site team can recognise. Note the print size, material, finish, fixing type, and where it was stored after handover. One accurate spare entry is more useful than a vague note about extra stock.
Link the Spare List to the approved artwork set, the packing labels, and the install photos before anything is moved to storage. Check that each spare matches the final production file, especially where revisions changed scale, crop, or laminate. Share a photo of the space and the print finish you like, and the studio will plan the piece.
- Backup prints matched to final approval
- Extra fixings counted after installation
- Storage location noted for each spare
Site conditions that affect spares
Spare stock needs different handling from live display pieces in homes, offices, hotels, clinics, and retail sites. Gauteng dust, Durban moisture, and Cape Town salt air can all change how replacement prints, adhesives, and metal fixings should be packed and stored. Record whether the extras stayed on site, went back to a depot, or were split between branches.
Heat near shopfront glass can affect adhesive-backed items kept for later use. In coastal areas, sealed bags and dry cartons help protect replacement hardware and printed panels from damp air. During load-shedding, handover notes should state where spares were placed so nothing is misplaced in low light or during a rushed close-up.

Spare List recording points
Use the Spare List to record extra panels, offcuts, hardware, and replacement prints, with photos, timing, and notes on what failed first. Keep the subject line specific.
Complete the Spare List while the install details are still easy to verify from labels, photos, and packing slips. Add notes on what failed first, what was replaced, and which extras remain unused for future maintenance. This creates a reliable reference for touch-ups, partial reprints, and replacement hardware on later visits.
