Escalation

A clear process for handling escalations in South Africa, written for decor teams who already work with site realities.

How Escalation works on an actual project week

Use the escalation page when a wall-art job needs management input, revised drawings, or a decision on fitment. It sets out the details our South African décor teams need before an issue moves past the usual project channel.

Escalation starts once the standard project channel can no longer clear the issue. Note the room, wall type, ordered size, and what changed on site, especially where fresh paint, uneven plaster, glazing, or restricted access now affects the fitment plan. Across Johannesburg, Durban, Cape Town, and Pretoria, these details help management read the problem against actual installation conditions rather than a vague complaint.

Include the first photo that shows the problem in context, not only a close-up. One image of the full wall, one of the defect or obstruction, and one of the product label usually gives enough detail to compare the order, drawing, and installed piece. Save the same set with the artwork record so the handover stays tied to the correct job.

Cases that need management review

An escalation record should show exactly what decision is needed. That may be approval for a redraw, a check on print scale, a ruling on site variation, or instruction to hold dispatch while dimensions are verified. Clear notes prevent a décor team from debating the same wall problem across calls and messages.

Before you send the case onward, match the job number to the approved artwork file and the latest marked-up drawing. Open the relevant notes under Software, Substrates, and Design notes if the issue touches scaling, material choice, or placement.

Site risks that trigger escalation

South African fit-outs often shift after final measure. Lift bookings, mall access hours, estate rules, and late electrical work can affect when wall pieces are unpacked or fixed, so record those constraints when asking for intervention. Gauteng office projects and coastal hospitality rooms rarely fail for the same reason, and the escalation note should reflect that.

Moisture near the coast can alter adhesion choices and handling on arrival. Inland dust, generator use during power cuts, and busy retail trading hours can all influence inspection quality and installation sequence. Add those conditions where they relate to the hold-up, rather than sending only a short complaint.

Information managers need before review

Send the Escalation brief with room photos, order timing, and the fault or hold-up already affecting the decor plan.

Write the escalation while the installer, coordinator, or buyer still has the measurements and photos at hand. Include the original request, what was supplied, what is now blocked, and which decision must come from management or revised drawings. That gives the support hub one complete record instead of fragments spread across chat, mail, and phone calls.
